- This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Print & Mailing Project Manager/Program Lead based in Brazil.
- This is a client-facing project leadership role overseeing complex print, mailing, fulfillment, and alternative-format programs.
- You will own projects end to end, from requirements gathering and estimating through production, proofing, and final delivery.
- The role brings together clients, vendors, technology teams, quality specialists, and internal stakeholders across multiple workflows.
- You will translate business needs into clear production specifications, technical requirements, schedules, budgets, and acceptance criteria.
- Success requires strong operational judgment, financial awareness, technical aptitude, and the ability to manage competing priorities calmly.
- You will also help identify risks, resolve issues, improve processes, and create scalable documentation and best practices.

- Accountabilities
- Manage print, mailing, fulfillment, and alternative-format projects from initial intake through final delivery, coordinating requirements, milestones, approvals, and dependencies.
- Serve as the primary point of contact for clients, vendors, and internal stakeholders, leading meetings, status reviews, requirements discussions, and issue-resolution conversations.
- Gather and clarify client requirements and translate them into detailed scopes, production specifications, workflows, acceptance criteria, and documented handoffs.
- Develop and maintain project schedules, estimates, budgets, production plans, and delivery milestones while monitoring financial performance, timelines, risks, and quality.
- Coordinate external printing, mailing, fulfillment, and accessibility vendors, ensuring clear ownership, service levels, proofing requirements, and delivery expectations.
- Partner with technology teams and vendors to define, test, and implement system configurations, production workflows, data exchanges, and technical specifications.
- Oversee proofing and approval processes, working with Quality teams and subject-matter experts to ensure deliverables meet client requirements.
- Monitor vendor performance, turnaround times, quality, and budget adherence, communicating progress, risks, and corrective actions to relevant stakeholders.
- Resolve project and production issues, drive corrective actions, and escalate technical, operational, or compliance risks when appropriate.
- Create and maintain procedures, workflows, playbooks, and best-practice documentation to support consistent and scalable operations.
- Requirements
- 3+ years of project or program management experience in print production, mailing services, fulfillment, marketing production, or a closely related service environment.
- Proven experience managing client-facing projects involving multiple vendors, internal teams, budgets, schedules, dependencies, and competing priorities.
- Strong professional English proficiency, with the ability to lead meetings, clarify requirements, present project updates, and handle challenging client or vendor discussions.
- Experience gathering business requirements and translating them into operational or technical specifications, workflows, and acceptance criteria.
- Strong technical aptitude, with the ability to coordinate system configurations, production workflows, process implementations, and structured data exchanges alongside technical specialists.
- Experience preparing estimates or budgets, monitoring project financials, and proactively identifying cost, schedule, quality, and delivery risks.
- Excellent communication, negotiation, organization, problem-solving, and stakeholder-management skills.
- Advanced proficiency with Microsoft Office, particularly Excel, and familiarity with project tracking or workflow management platforms.
- Ability to work independently, remain organized in deadline-driven environments, and manage multiple projects simultaneously.
- Availability to work full-time on a schedule aligned with New York business hours.
